7. Workride Plus - Early termination process + (Unpaid & Parental Leave + ACC benefit)

The Workride Plus program was designed from the ground up to be completely flexible and risk-free for your business when an employee's situation changes. This includes both permanent departures and temporary periods of leave.

Early Termination: When an Employee Leaves

If an employee's employment ends before their 12-month lease period is complete, the process is simple and ensures your business carries no residual financial risk.

  1. You Notify Workride: Your only step is to let our team know as soon as you become aware of an early termination (one month's notice is requested). This allows Workride to cancel future installments for that employee.

  2. Workride Takes Over: Our team takes full responsibility for the exit process, working directly with the departing employee to manage their options. We will only ask for your support if we are unable to get in touch with the employee.

  3. The default requirement is to return the bike. The required first step for the employee is to arrange the return of their bike or e-bike. Our team works directly with them to manage this process. A reasonable fee for the return, inspection, and delivery will apply. Prior to returning bike they can request a settlement. At the time of their departure, the employee may request a settlement offer to keep the bike prior to returning their bike. This offer is not a predetermined value; its purpose is solely to help Workride recover any outstanding costs on the lease still to be used.

This two-step process ensures a fair outcome for the employee while guaranteeing zero financial risk and zero administrative hassle for your business.


Payment Deferrals: Handling ACC, Unpaid, or Parental Leave

The program is also designed to be flexible for temporary pauses in an employee's pay.

    • Aligning Payments to Deductions: If a salary sacrifice deduction needs to be deferred for any reason (such as protected earnings, ACC, unpaid leave, or parental leave), your team can simply defer the corresponding monthly Workride installment for that employee. This ensures that your payments to Workride are always aligned with the salary sacrifice deductions you have actually applied.

    • Aggregate Deferral Period: The Workride Plus program permits up to 120 days (90 days for Govt. employers) of total deferrals for each benefit.

    • Extensions: If a longer period is needed, case-by-case extensions can be made available with written approval from Workride.

The Final Invoice and "True-Up"

Because your salary sacrifice deductions are collected before our monthly invoice is due, the final "True-Up" invoice at termination will typically show a credit back to the employee, never a shortfall for your business. Workride issues this final adjustment to reconcile the total value invoiced against the actual period the benefit was used, ensuring your organization never bears any residual financial risk.
